We have an immediate opening for an Administrative Assistant to our Technical and Quality Manager in our Bellingham, WA facility.


Job Responsibilities:

  • Manage the manager’s calendar and schedule, including booking appointments and meeting prep
  • Prioritize workload
  • Answer all calls and be the first point of contact for manager and applicable departments
  • Draft/proof emails and memos on behalf of the manager, department, and Company
  • Deliver various types of correspondence around the office for manager and department staff
  • Take minutes for various inter-departmental meetings
  • Follow up with staff regarding status of projects and ensure staff/department deadlines are met
  • Proof/update owner’s manuals, parts breakdowns, product labeling, ads, websites, and catalogs
  • Create technical bulletins, data sheets, labels, instruction sheets, SOPs, and training modules
  • Archive incoming files, specifications, and critical product information from factories
  • Prepare reports, maintain spreadsheets and databases, and perform record-keeping audits
  • Organize, maintain, and audit file libraries for technical documentation and QC records
  • Print/bind owner’s manuals and coordinate larger print jobs with local printing companies
  • Ship manuals, parts, and products to factories, other Grizzly offices, magazines, and customers
  • Create/submit copyright applications for new product documentation
  • Scan/archive factory manuals, magazine articles, and other paper-based records
  • Prepare and submit QC-repair invoices for overseas factories and accounting department
  • Coordinate manager’s travel itinerary, flight details, rental cars, lodging, etc.
  • Perform various types of legal and product-related research
  • Assist manager with administration of product recalls, customer notification, & CPSC reporting


Job Requirements:

  • At least 2 years administrative support experience
  • Proofreading/copyediting experience preferred
  • Strong writing skills and knowledge of proper grammar
  • Type at least 50 WPM
  • Proficient in Microsoft Office and Adobe Creative Suite (InDesign, Photoshop, Illustrator)
  • Excellent written and oral communication skills
  • Extremely high attention to detail, organization, and accuracy
  • Ability to work in a fast-paced environment and produce a high volume of work
  • Ability to meet deadlines while juggling multiple projects at once
  • Ability to work independently, yet always remain team oriented
  • Must be a fast learner and love to always learn new things
